Machines are the physical equipment used to create products. Together with labor and materials, machines are used in assemblies to build products. For more information on Assemblies, please see Assembly Overview.

Machine Menu
To find all Machines, navigate to Settings / Components / Machines.
Select a Machine to open up the Machine Screen.
Machine Details
This tab contains general information about the Machine, such as Name, Description, Machine Type, Machine Category, and associated Income and Expense Accounts. Changes can be made at any time and will need to be saved by clicking on the Save button at the bottom of the page. All fields marked with a red asterisk are required fields.
1. Select the Machine Details tab.
a. Upload Image - Upload an image which is optional and can be changed at any time.
b. Name - This is the internal name of the machine.
c. Name on Documents - This is the visible name to your customers and can be more general.
d. Description - Add more detailed information about the machine. This will be used internally.
e. Machine Type - A library of preset examples that hold all the calculation needed to run this type of machine. This is selected when adding a new machine in the system.
f. Machine Categories - This is used for internal organization for sorting your machines for ease during assembly creation and order entry. You may add a Category by selecting the Manage Machine Categories link located at the bottom of the dropdown.
2. Go to the Accounting section.
a. Machine Cost Per Hour - This is the cost of the machine to operated excluding labor or disposable costs.
b. Click on the link to Calculate Cost Per Hour.
c. Monthly Lease Payment - This is the monthly fee to operate and rent this machine.
Note: If you do not have a monthly payment, we recommend to estimate a monthly rental amount or a monthly replacement cost.
d. Monthly Maintenance Cost - This would be your estimated monthly maintenance contract, repairs, and parts to maintain this machine.
e. Average Daily Operating Hours - This would be an average of daily operating hours, not when the machine is available.
f. Days per Week Your Shop is Open - This is the number of days per week your shop is open.
g. Work Days per Year Shop is Closed - This is the number of days per year the shop is closed, such as holidays and Sundays.
Note: Based on the information entered, the worksheet will calculate a Machine Cost per Hour for this machine and will update the field.
h. Click Apply and Close.
i. Income Account - Use the dropdown to specify the income account for this machine.
j. COGS / Expense Account - Use the dropdown to specify the Cost of Good Sold Expense Account for this machine.
k. Machine Price Per Hour - This is the price for stand-alone projects.
Example: If a customer only needs a project to be cut or laminated this is the base price to be charged.
Note: The price will only change when using Market Based Pricing.
l. Custom Fields - This is explained further down in this article.
m. Click Save.
Profiles
The Profiles tab allows for setting different run times, labor, and material options per profile for this machine. There is no limit to the number of profiles that can be setup for a machine. A profile is selected when creating an assembly. For more information on Assemblies, please go to Assembly Overview.
Note: Initial settings are dictated by the machine type selected when the machine was added in the system which can be changed for each profile.
1. Select the Profiles tab.
2. Profiles - All profiles setup for this machine are listed here, you can add as many as you would like.
Note: The default profile is marked with a star.
a. Click on the Ellipsis for options for a profile, such as, Make Default, Clone, Rename, Set Inactive, or Delete. Any changes will need to be saved.
b. Click on the Plus icon to add settings for a new profile. Any changes will need to be saved.
3. Run Times and Labor
a. Machine Labor and Machine Labor Percentage - Use the dropdown to select the type of machine labor and the percentage of time an employee needs to watch this machine for this profile.
b. One Time Setup Time - This is the initial amount of time to setup this machine for every job.
c. Run Speed Based On - This is the unit of measure used for calculating speeds.
d. Profile Speed Settings - Enter the specific data, such as, resolution quality and speed for each option on this machine. You can add additional options by clicking on the + Options icon. You can set a preview option to view what this will look like in order entry.
4. Click Save and Close.
5. Disposable Cost Settings
a. Disposable Cost Type - Use the dropdown to determine how disposable costs are calculated.
Note: Disposable costs are consumable items, such as, inks that the machine will use.
b. Cost per and Disposable Cost - Use the dropdown to determine the unit calculation and add the cost value per unit selected.
Note: Disposable cost setting only add to the price with cost based pricing, however the cost value will still be added for reporting cost in market based pricing.
6. Material Usage and Display Settings.
Note: Depending on the type of machine that is being entered, the information needed will vary. Please refer to the ? icon above the field for help tips specific to the machine being entered.
a. Layout Type - Use the dropdown to determine how the machine will layout the material.
b. Use Layout Manager - Check if you want a graphical representation of the finished size and quantity against the material. Using the layout manager will calculate waste, enter Machine Margin and Leader for this profile. If you do not use the layout manager you can enter a Default Waste Percentage.
c. Advanced Pricing Options - A Weighted Value Multiplier percentage can be added to adjust the price up or down for this machine profile.
Note: Selecting 100% will not change the price on this profile. Selecting 110% will increase the price on this profile by 10%. Selecting 90% will decrease the price on this profile by 10%.
Instances
Instances refers to a useful place to store specific details about this equipment. If you have multiples of this same equipment you can store details for each machine on this tab.
1. Select the Instances tab.
2. Instances - All instances setup for this type of machine are listed here, you can add as many as you would like.
a. Click on the Ellipsis for options for an instance, such as, Rename, or Clone. Any changes will need to be saved.
b. Click on the Plus icon to add an instance for this machine. Any changes will need to be saved.
3. Instance Details
a. Manufacturer - Enter the manufacturer of this machine.
b. Model - Enter the specific model of this machine.
c. Serial Number - Enter the serial number for this specific machine.
d. Location - Enter the specific location for this machine.
e. Network/IP Address - Enter the specific IP Address for this machine.
f. Purchase Date - Enter the date this specific machine was aquired.
g. Service Information - Enter any specific service information on this machine.
h. Has Service Contract - Toggle No or Yes on having a service contact. If selecting Yes, enter the beginning and ending dates of the contract.
4. Click Save.
Custom Fields
Custom Fields allow you to create your own fields specific to your own needs.
1. Go to the Custom Fields tab to view custom fields created for this machine.
Note: Here is an example of a machine custom field. Custom fields are throughout the system and can be created by going to Settings / Custom Fields / Machine.
2. Click Save if you have made changes.
Files
Files associated with this Machine can be added, organized, and stored here. Any changes made will need to be saved by clicking on the Save button at the bottom of the page.
1. Select the Files tab.
a. Upload - This brings up a pop up, allowing you to select the files you would like to add to this machine.
b. New Folder - This allows you to create a new folder to keep your files organized.
2. Click Save.
Notes
Notes can be added here for this machine.
1. Select the Notes tab.
a. View existing notes. Use the checkbox on the right to show any deleted notes.
b. + Machine Notes - Type in this box to add a note.
2. Click Save.
