Automations Overview

An Automation is similar to a Notification. However, an Automation is external and customer-facing. The purpose of an Automation is to help keep your customers informed and updated regarding any changes or items requiring their attention.

To find and use Automations navigate to Settings / Automations / Automations.




Creating Automations 

 

1. Select the Green Plus icon.

2. Choose if you would like to start with a template, blank canvas, or to clone from a pre-existing automation. 

3. Click Select.



Note: This will bring up a new screen for you to fill out with the pertinent information needed to create an Automation.



4. Begin adding information to Add New Automation.  

Note: Fields with a red asterisk are required.

    a. Automation Name - This is for internal use only. 

    b. Description - Provide a brief description of the reason for the Automation. This description is used internally.



5. Select the Trigger Type. This is the action that will cause the system to send an Automation. There are three options to choose from and each Trigger Type has unique fields that follow. 

Note: This example shows the fields  when Calendar is used as the Trigger Type.

    a. Trigger Type - Select Calendar from the dropdown menu.

    b. Event Type - Select the Event Type from the dropdown menu.

    c. Start Date - Using the calendar, select the date and time for the Automation to begin.

    d. Repeat - Using the dropdown, select the frequency in which you would like the Automation to repeat.

    e. Ends - Using the dropdown, select when you would like to stop sending this Automation.

Note: This field is only visible if you have selected a Repeat option above.



5. Select the Trigger Type. This is the action that will cause the system to send an Automation. There are three options to choose from and each Trigger Type has unique fields that follow. 

Note: This example shows the fields when Event is used as the Trigger Type.

    a. Trigger Type - Select Event from the dropdown menu.

    b. Event Type - Select the Event Type from the dropdown menu. These are used as parent classifications for the Events listed in the dropdown below.

    c. Event - Events are the actions or updates made within your system. Choose one from the dropdown menu.



 5. Select the Trigger Type. This is the action that will cause the system to send an Automation. There are three options to choose from and each Trigger Type has unique fields that follow. 

Note: This example shows the fields when Webhook/Manual is used as the Trigger Type. 

    a. Trigger Type - Select Webhook/Manual from the dropdown menu.

Note: A link will appear to the right that you can copy and paste.

    b. Event Type - Select the Event Type from the dropdown menu.


      

6. Fill in the Conditions. These act as filters that allow you to fine tune how and when the Automation is triggered.

    a. Object - Fill in the Object. This gives the basic criteria for the Conditions. 

    b. Condition - Choose from the dropdown to decide what the values should be.

    c. This box will change depending on the Object and Condition chosen and is the final classifier of an individual Condition.

    d. + AND - Use the + AND button to create further classifications for an Automation. The + AND button requires all specified Conditions to be met before the customer will receive an Automation.

    e. + OR - Use the + OR button to add multiple Conditions. The + OR button allows for the Automation to be sent if different sets of Conditions are met.

    f. Preview results for conditions above - View which items will trigger an Automation with the above Conditions selected.


   

7.  Determine how you would like the Automation to be delivered.

    a. Select either Add Note, Post Webhook or Send Email from the dropdown menuEnter the required information for the selected type.

8. Click Save and Continue.




Editing an Automation 


To edit an Automation navigate to Settings / Automations / Automations and select the desired notification.


 

1. While in the Automation Details Tab, make any necessary changes.

2. Click Save.
