Messages and Notifications Overview

The Message & Notification feature allows for sending and receiving Messages and Notifications from within the system. The system uses the email attached to your profile to send and receive messages. While this feature can be used to send external messages, it is more common to email your customers or vendors from other areas of the system directly, such as, sending purchase orders, orders, and estimates.

Locating Messages and Notifications


Messages are internal communications sent from one employee to another within the system. They offer a convenient and organized way to keep track of conversations, ensuring important information stays accessible and easy to manage.

Notifications are internal alerts to your inbox based on preset criteria. For more information on how to setup a notification, please see Notification Overview. When a Notification is setup for an employee, the system will automatically send an inbox message based on the criteria of the notification. For more information on setting up an employee notification, please see Managing Employees.


Navigate to My Profile / Messages & Notifications.



1. Select the Inbox tab.

    a. The subtabs allow you to navigate between All communications, Messages, and Notifications.

    bClicking into a message expands the contents on the right. 

    c. This ellipsis gives you the option to quickly Mark as Read/Unread, or Delete.

Note: These options are also available another way which will be shown below under the example.

    d. Quickly locate a particular communication using the Search field and Filter icon.

    eThis ellipsis gives you the options to Mark as Read, Delete, Reply, Reply All, and Forward.

    f. Shortcuts for Reply, Reply All and Forward are in the body of the message.

Note: You can view Sent and Deleted messages by selecting their respective tabs. These screens function in the same way as the Inbox, as shown above.




Composing Messages


The ability to send messages is permission based. Permissions can be managed in Management / My Business / Employees, then select the appropriate Employee and adjust the permissions in the tab Access Details. Or, in Settings / My Business / Employees Roles & Permissions. For more information on Permissions, please see Employee Roles and Permissions.


To begin, navigate to My Profile / Messages & Notifications.




1. Select the Green Plus button.

Note: This will open the Compose New Message modal. 

2. Start typing the recipient’s name to see a list of matching employees in the system. Then, select the individual(s) you wish to direct your message to.

Note: You can send CC and BCC copies of this message. 

3. Subject - Enter a brief topic for this message.

4. Add attachments, if desired. 

5. Compose the message using standard message tools in the body. 

6. Click Send Message.  

Note: You don't need to have a from email to send internally in the system. 

  

Quick Navigation 


An convenient icon provides system-wide navigation to your Messages and Notifications center for quick and easy access.


1. Click on the Mail icon to go directly to your Inbox.
