Application of Employee Roles

Application of Employee Roles under Settings/My Business/Application of Employee Roles gives you a way to preselect which roles and employees can work with an order, estimate, or company—saving you time as you're filling out those forms in your system. 


1. Select one of the tabs under Orders, Estimates, or Companies, to start customizing your role applications.  


2. The Role Application section is where you can designate which roles are Required and which are Allowed (or optional). 


3. Select the roles that your employees must include on any order, estimate, etc., and how many times that role will be displayed in the Required section.    

Example: If you need two salespeople on each order, such as a lead and junior sales associate, you would select under How Many, meaning instances displayed.  


4. Select any other roles that your employees could include on an order, estimate, etc., but are not needed every time.
Example: If you sometimes need up to two machine operators on a project, put 2 under How Many. If you typically only need one machine operator, put under # Displayed.  

Note: Users will see the option to select an employee as a machine operator and if they need another machine operator, they can add that role and employee at the bottom of the section. 


5. The Role Preview section shows you how your form will look based on what you have selected in the Role Application section.   


6. Required fields are indicated with red asterisks. 

Note: The role cannot be changed in the preview, but you can make changes to the roles from the Role Application section.  

 

7. You can preview an employee for each role from the dropdown menus.  

Note: Only employees who have been assigned to that role on their Access Details page will appear in that dropdown menu.     


8. These fields are visible, based on the selections you chose in the Role Application section, but do not need to be filled in.  


9. In both the Role Applications and the Role Preview sections, you can click on the More Actions ellipsis to remove any roles you don’t need or want to preview.    

Note: Removing options in the Role Preview section will not affect the options you selected in Role Applications


10. To add an Allowed Role that is not visible, you can click the plus sign below the last visible role. This option is available when the number of roles (How Many) is greater than # Displayed.

Example:  

Machine Operators 2    Displayed 1
