File Management

Throughout your system, you’ll see File tabs where you can upload documents like contracts, design files, lease agreements, personnel photos, etc. You can save time, by setting up a standard filing system to auto-populate folders and files when creating new companies, employees, etc., by going to Settings/File Management/Default Files and Folders.

A. You can share files with customers by using the Customer Shared folder.

B. You can upload files here.

Adding New Folders

1. Select which folder you want to create a new folder under.

Note: Any document added to default folders will automatically be copied when setting up new companies, employees, etc.  


2. Create new folders by clicking either of these buttons

3. Enter a name for the folder.

4. Click Create Folder.

Moving Files into Folders


1. Check the boxes of each item you want to move. 

2. Click on the dropdown menu that appears and select Move To

3. Click on the folder you want to move the items to. 

4. Click Move to finish moving your items.

Examples of Default Files and Folders

A. The Company tab is where you can upload purchase orders, logo designs, lease agreements, etc.  

B. The Employee tab can be used for uploading profile photos, contracts, and other personnel-related files.  

C. The Estimate tab could have preliminary design files for a prospective project.  

D. The Locations tab could include folders for multiple centers and documents such as commercial lease agreements. 

E. The Order tab is where you can upload contracts, design files, etc.  

F. The Purchase Orders tab is where you can upload vendor purchase orders.

Additional Features

You can click on the More Actions ellipsis to find additional options for managing your files and folders.

Enable File Management in the Customer Portal

To allow your customers to use preset folders, check the box next to Enable File Management in the Customer Portal under Settings/File Management/Files and Folders Options.
