Status Setup

Statuses define how work moves through CoreBridge EVO. Administrators configure item statuses and item substatuses so line-level workflow matches your operation. This article walks through where those settings live in EVO, how they differ from the legacy Settings / Workflow / Statuses and Substatuses screens, and how to create and link values.

An item substatus must be linked to an item status using Linked Substatuses on Workflow Statuses (when you add or edit an item status) before users can select that substatus on line items.

Setting Up Item Statuses


To create a new item status, open Settings / Workflow / Workflow Statuses. In EVO the page title is Workflow Statuses; it replaces the legacy Settings / Workflow / Statuses label. The page subtitle reads Configure item statuses for each stage of your workflow. A Substatuses shortcut at the top links to the substatus list.


1. Choose the document tab: Estimate, Order, Purchase Order, or Calendar Event.

2. Click the main status chip for the workflow stage where the new item status should appear (for example Pending on estimates or WIP on orders). System main statuses are fixed; you are adding rows under the selected stage.

3. Click Add Status (plus Status). In EVO this replaces the legacy green plus control.

4. In the Add Item Status dialog, complete the fields:

a. Status Name (required) is the internal name shown to your team.

b. Customer Portal Name is optional text for the customer portal; it can differ from the internal name.

c. Linked Substatuses opens a multi-select list labeled Select substatuses. Choose any substatus records that should be available when this item status is used. Substatuses must already exist on the Substatuses page (see the next section).

Note: Fields marked with a red asterisk are required.

5. Click Save. Use Cancel to close without saving.



Setting Up Item Substatuses


To define reusable item substatus names, go to Settings / Workflow / Substatuses. The EVO page shows the heading Substatuses with the note Configure order item substatus definitions for tracking work progress. A Statuses shortcut returns you to Workflow Statuses.


1. Click Add New. This replaces the legacy green plus on the substatus list.

2. In the Add Substatus dialog, enter the Name (required).

3. Click Save to create the record, or Cancel to discard. There is no separate green check icon in EVO; saving is explicit through the Save button.


The list shows each substatus with a Parent Status column so you can see which item statuses already reference it. Use the row edit control if your permissions allow changes to an existing substatus.



Linking an Item Substatus to an Item Status


After a substatus exists, it must be tied to at least one item status before it appears on orders, estimates, or other line items. The usual path in EVO is to select substatuses in the Linked Substatuses field while you Add Item Status or while editing an existing row in Workflow Statuses.


1. Open Settings / Workflow / Workflow Statuses, pick the correct document tab and main status chip, then open Add Status or edit an existing item status row.

2. Use Linked Substatuses / Select substatuses to choose one or more substatus records.

Note: You can link multiple substatuses to the same item status, matching legacy behavior.

3. Click Save.


Note: If you only create a name on the Substatuses page, you still need to attach it through Workflow Statuses before it is selectable in daily work.
