Reassigning Customers When Deactivating an Employee

When an employee leaves and you need to deactivate their profile, you may need to first reassign any Contacts or Companies where they are listed as the Salesperson. The Reassign Customers function lets you transfer all of those assignments to another active employee in bulk.

Note: Reassign Customers only applies to Contacts and Companies where the employee holds the Salesperson role. It does not affect Orders — order history retains the original Salesperson association by design.

When to Use Reassign Customers


Use Reassign Customers before deactivating (revoking access for) an employee when:

  • The departing employee is listed as the Salesperson on Contacts or Companies.
  • You want to transfer those customer relationships to a current team member.
  • You need sales reporting and company list views to reflect the correct salesperson going forward.


How to Reassign Customers


Navigate to Management / My Business / Employees.


1. Locate and select the employee you need to deactivate.


2. On the employee’s profile, select Reassign Customers.


3. The screen displays all Contacts and Companies currently assigned to this employee as their Salesperson.


4. Select the employee you want to reassign these customers to from the dropdown.


5. Confirm the reassignment.


Once complete, the selected employee will be listed as the Salesperson on all previously assigned Contacts and Companies. Verify the change by navigating to Sales / Companies or Sales / Contacts and filtering by salesperson.


After Reassigning — Deactivating the Employee


Once customers have been reassigned, proceed to deactivate the employee.


Navigate to Management / My Business / Employees.


1. Open the employee’s profile.

2. Click the Access Details tab.

3. Click Revoke Access to remove the employee’s system login.


Note: You can also set a Release Date on the employee profile to flag their departure date while retaining all historical records.


Note: Orders are not affected by Reassign Customers. Closed and open Orders retain their original Salesperson and Entered By associations. This is expected behavior — historical order data is preserved.
