Correcting Payment Method After a Reconciliation Is Posted

Payment method mistakes (for example, recording a check as ACH) should be fixed before you post a reconciliation. Once a reconciliation is posted, that period cannot be reopened. A later reconciliation does not automatically correct tender totals that already closed.

Table of Contents

Before you reconcile

Navigate to Accounting / Reconciliation & Sync and open the reconciliation Preview for the location.

1. Review the Payment Summary and Payments and Refunds tabs so each tender matches what you actually received (Cash, Check, ACH, card, and so on).

2. If a payment used the wrong method, correct it in CoreBridge before you click Reconcile.

3. When counts and the Financial Summary look right and Difference is $0.00, click Reconcile to post the period.

After the period is posted

Completed reconciliations are closed. CoreBridge does not reopen that period so you can rewrite Payment Summary totals and post the same period again.

Waiting for the next day (or the next reconciliation) does not self-correct a tender mistake that already closed. Activity after the close belongs to a new reconciliation period.

QuickBooks and downloads

On a closed reconciliation you can Download a file for manual entry into QuickBooks Desktop, or use Sync when an accounting integration is connected.

Do not download the same closed reconciliation a second time and enter it into QuickBooks again. That can duplicate the period in QuickBooks.

If the wrong tender (for example ACH instead of Check) already landed in QuickBooks from that period, correct the deposit or journal lines in QuickBooks so Check and ACH accounts match what you actually banked. Use one correcting entry for the amounts that were misclassified. Do not re-import the CoreBridge download for that same reconciliation.

If you have not entered that download into QuickBooks yet, enter Check and ACH amounts to the correct QuickBooks accounts when you post the journal from the download. Treat that as a one-time bookkeeping correction for that closed period.

Going forward

On future payments, choose the correct payment method before you reconcile so Payment Summary, downloads, and syncs stay aligned with your bank deposits.

Note: In CoreBridge Evo, Reconciliation & Sync follows the same idea: review tenders on the preview before you reconcile, and a posted period is not rewritten by the next day's reconciliation.
