The Purchase List is a checklist of materials that open Orders still need to buy. It is separate from Purchase Orders. Use it to see demand across open jobs and mark materials as purchased for tracking, without choosing a vendor or creating a PO.

What the Purchase List Is
The Purchase List gathers material demand from open sales Orders. Production teams do not need to create a Purchase Order or know the supplier for a material to appear on this list. Lines come from materials already on those Orders (for example on the bill of materials).
Opening the Purchase List
Navigate to Purchasing / Purchase List.
1. Review the materials listed for open Orders. Use filters or tabs (such as General or Apparel) when you need a smaller set of rows.
Marking Materials as Purchased
1. Select one or more rows that still need to be purchased.
2. Select Mark as Purchased on the toolbar, or use the mark control on the row.
Marking purchased is a tracking step for your team. It does not create a Purchase Order, does not require a vendor, and does not by itself change inventory on hand.
Quantity Mismatch Warning
An orange exclamation mark next to the quantity means the purchased quantity recorded for that line does not match the Order quantity. It is a warning, not a separate Purchase Order error. Hover the icon to see the purchased quantity compared with the Order quantity.
Purchase List vs Purchase Orders
Use the Purchase List to see what open Orders still need and to mark demand as purchased for tracking. Use a Purchase Order when you are buying from a vendor and need supplier, costs, and receiving. For Purchase Order steps, see Purchase Orders.
Frequently Asked Questions
1. Can someone request material without creating a Purchase Order?
Answer: Yes for demand that is already on an open Order. Those materials appear on the Purchase List automatically. Marking them purchased does not create a PO. Create a Purchase Order only when purchasing from a vendor.
2. Why does a material not show on the Purchase List?
Answer: The list shows materials from open Orders. If the material is not on an open Order yet, add it to the job (for example on the Order bill of materials) so demand can appear on the Purchase List.
3. Does Mark as Purchased create a Purchase Order?
Answer: No. Mark as Purchased is tracking only. Use a Purchase Order when you buy from a vendor.
